We are seeking a highly skilled and forward-thinking Internal Systems Administrator to join our dynamic team. This is a fully remote opportunity, allowing you to work from the comfort of your own space while playing a key role in managing and optimizing the systems and tools that power our business.

Position Overview:

As the Internal Systems Administrator, you’ll serve as the technical owner of One Firefly’s internal IT systems and productivity platforms. You’ll be responsible for proactively managing endpoint security, optimizing SaaS tools, integrating AI technologies, and collaborating with external partners to ensure scalable and secure system performance. Your technical acumen and strategic mindset will help shape the way our teams work and evolve across the business.

What you’ll do:

  1. Endpoint & Asset Management
  • Serve as the primary administrator of NinjaOne, ensuring all devices are secure, patched, and monitored.
  • Oversee hardware inventory, provisioning, and lifecycle management for both Mac and Windows systems.
  • Troubleshoot high-level technical issues and ensure system compliance with internal security standards.
  • Provide technical support to internal teams to diagnose and resolve issues as quickly and effectively as possible, limiting downtime when possible.

  1. Google Workspace & Security Oversight
  • Manage administration of Google Workspace, including user roles, access controls, and security settings.
  • Monitor Workspace activity and policies to ensure alignment with best practices and company standards.
  • Act as the first line of defense for identifying and mitigating potential security risks.

  1. SaaS Stack Management
  • Maintain visibility into SaaS platform usage, licensing, costs, and renewal cycles.
  • Serve as a technical point of contact for vendor relationships across the company’s SaaS ecosystem.
  • Support cost optimization efforts and ensure tool alignment with business needs and scalability.

  1. AI Integration & Innovation
  • Proactively explore and implement generative AI tools (e.g., ChatGPT, Gemini) to enhance internal workflows.
  • Educate internal teams on the responsible and effective use of AI technologies in day-to-day operations.
  • Stay current with evolving AI trends and tools that could benefit internal systems and processes.

  1. Zoho One Systems Support
  • Collaborate with department leads to identify automation opportunities within Zoho CRM, Projects, Creator, Flow and other applications as needed.
  • Develop, test, and implement automation workflows and custom functions (using Deluge or by managing Zoho consultants).
    Oversee the relationship with Zoho consultants, ensuring projects are delivered efficiently and accurately.

Who you are:

  • Proactive problem solver with a proven track record of excellent communication and customer support.
  • Proven experience in IT systems administration, endpoint management, and SaaS oversight.
  • Strong hands-on knowledge of NinjaOne or equivalent RMM platforms.
  • Comfortable with scripting or workflow logic (e.g., Deluge, JavaScript), with an ability to manage external developers when needed.
  • Fluency in Google Workspace admin settings and security best practices.
  • AI-native mindset with a track record of using tools like ChatGPT or Gemini to streamline work.
  • Excellent communication skills — clear, concise, and effective across technical and non-technical teams.
  • Previous experience in a remote-first or agency environment is a plus.
